Privacy Policy

Luminos Hire records interviews and stores résumés, transcripts and proctoring signals to run verification. This page states exactly what that means in practice.

What we collect

Verification is the core of the product, so most of what we collect comes from an interview session:

  • Account data — name, email, role.
  • Résumé versions you upload or update.
  • Interview audio/video recordings, where the tier records.
  • Transcripts generated from those recordings.
  • AI evaluation output — scores and notes tied to your answers.
  • Proctoring and integrity signals captured during a supervised or kiosk-verified session.

How long we keep it

Each artifact class has its own retention window, enforced by a scheduled deletion sweep rather than kept indefinitely:

These are the platform defaults; an environment-level override can shorten or extend a given window, and every deletion run is logged.

Request erasure

Submitting this request queues it for review — it does not delete anything by itself. A human on our verification team confirms the request and approves it before anything is removed.

What stays

  • • An anonymized aggregate record, with identity scrubbed to a placeholder
  • • The badge audit trail, so verification history stays auditable without naming you

Who can see your data

Access is scoped by role and enforced by the API, not just hidden in the interface:

  • Client — the badge and skill-match summary for talent matched to their requirement, never internal review notes.
  • Talent — their own profile, verification status, matches and contracts.
  • Client Ops — client, lead and requirement data on the client side of a match.
  • Talent Operations — talent intake, interview review, verification and the full report.
  • Admin — users, taxonomy, kiosks and system administration.

Proctoring and integrity signals are internal-only. They are never shown to a client — a client sees the badge that results from review, not the raw session data behind it.

Who else touches this data

Two categories of processor handle interview data on our behalf, and neither receives more than the task requires:

  • An AI evaluation provider, to generate evaluation output from transcripts and recordings.
  • A cloud object storage provider, to hold recordings and résumés in a private bucket, encrypted at rest.

We do not sell personal data.

Security

Traffic to and from the platform is encrypted in transit. Recordings and résumés sit in a private bucket and are only ever reached through short-lived, single-purpose links the server generates — never a public URL. Every sensitive read is written to an append-only audit trail.
